Can I invite a candidate to a Karat Interview from the ATS?
Yes, all ATS integrations support this functionality.
Can I schedule the candidate's Karat Interview for a specific time by myself in my ATS?
Unfortunately, the ability to schedule for a time on behalf of a candidate only exists on the Karat Platform. To schedule on behalf of a candidate from the Karat Platform, see How to: Invite or schedule the interview on behalf of the candidate in Karat’s Platform.
Can I still schedule a Karat interview on behalf of the candidate if I sent an email invite from my ATS?
Yes, you can still manually schedule a candidate for a Karat interview. However, you’ll need to invite the candidate from the Karat Platform. For more information, see How to: Invite or schedule the interview on behalf of the candidate in Karat’s Platform.
The candidate’s notifications and interview results will still be automatically added to your ATS, only if you supply the candidate's profile URL. For more information, see How to: Edit the candidate's profile URL from your ATS.
How do I resolve invite errors in my ATS?
If your ATS allows you to invite candidates directly, there are a few defined invite errors that can appear in the candidate's Karat Status field, if encountered. Read the following invite errors and its instructions to troubleshooting them:

Missing or invalid Karat role on the job.
- Check the Karat assessment role is assigned correctly to the job position or requisition. For more information about how to add or identify the Karat assessment role, see the following resources:

Phone is too short (minimum is 7 characters).
- The candidate's phone number does not contain a minimum of 7 characters. A candidate's phone number can be blank, but if it's not, it's required to have at least 7 characters. To resolve this, go to the candidate's Jobvite profile and correct or remove their phone number.

Invite failed: Role already has an active interview for this candidate. Please visit this interview to make changes to it.
- This error states that the candidate has already been invited to take the Karat assessment that is assigned to that job. This error message will contain a link to the current Karat Interview for this candidate.
- The Karat Platform prevents duplicate interview invites for the same candidate in the same role. This means, you can't schedule a candidate who state is "scheduling" or "scheduled". However, you can invite a candidate to their original Karat interview in another role or another job.

Recruiter and candidate can't be the same.
- The recruiter's email and the candidate's email are the same. Correct either the candidate's or the recruiter's email address and then resend the invite.
After I've resolved an invite error, how do I attempt to send the Karat Assessment invite again from my ATS?
If your ATS allows you to invite candidates directly, you can retry the candidate invite by moving the candidate to a previous stage and then back into the Karat Assessment stage. This will trigger a new invite.
After moving the candidate to the Karat assessment stage or workflow step, the Karat status is still blank. What happened?
It can take some minutes to reflect the sent invite to a candidate from your ATS. You can follow the steps below to make sure the invite was sent:
- Wait a minute or two and refresh your ATS page to ensure the Karat stage hasn't been updated.
- If the Karat stage is still blank, this means that Karat didn't receive the invite. Rarely a temporary error can occur on the ATS side of the integration.
- To resolve this:
- Move the candidate back to a previous workflow step and then move them to the Karat Assessment workflow step again or repeat the steps of your ATS integration to invite a candidate. This will trigger another invite attempt.
- Wait a minute or two and refresh your ATS screen again.
- If the Karat stage field is still blank, reach out to support@karat.com for assistance.
Can I cancel a Karat interview in ATS?
Unfortunately, Karat interviews can't be canceled from your ATS. You can log in to the Karat Platform and cancel the interview directly by following these steps:
- Go to Karat’s platform.
- Click Active funnel.
- Click the candidate's name that you want to cancel the Karat interview.
- Click Settings.
- Add a reason for cancelling.
- Click Cancel Interview.
If this doesn't work, you can contact the 24/7 Karat support team at support@karat.com and provide them with the candidate's name or email.
Note: A Karat interview will time out by default after 28 days and automatically move to a canceled state.
Specifications for Ashby: A Karat Assessment is NOT canceled when removed from Ashby by selecting the Cancel Assessment and subsequently Delete Assessment.
Why am I not receiving notifications for my candidates?
You may not receive notifications for your candidates, because you aren’t assigned as the recruiter for the candidate in the Karat Platform. Ensure your name is assigned as the recruiter in Karat.
How can my team get notified about the candidate's progress at Karat’s interview in my ATS?
Set up the followers in the job or requisitions setting in your ATS. Add recruiters, graders, engineers or other roles that are interested in the candidates of the job. All users added receive notifications when the candidate’s interview results are posted to the activity feed through the integration. However, graders don’t receive notifications related to scheduling, rescheduling, or cancellation.
Why isn't my name set as the recruiter for a candidate in the Karat platform?
When setting up the integration, each client has the option of choosing to pull the recruiter’s name from either the candidate’s recruiter field, the candidate’s grader field, or the job’s recruiter field. Please ensure your name is set correctly for your candidates.
Can I get notifications if I invited the candidate through the Karat Platform instead of my ATS?
The candidate’s notifications and interview results will still be automatically added to your ATS, only if you supply the candidate's profile URL. For more information, see How to: Edit the candidate's profile URL from your ATS.
Why don’t the interview results post the Karat scorecard?
Karat only writes the interview results as a note or details in the activity feed of the of the candidate’s profile in your ATS. The Karat team is working to share complete scorecards through the integration in a future update.
How do I send an invite for a Redo interview?
At Karat, a Redo interview is an opportunity offered to candidates who feel that their original interview didn't accurately represent their skills. It allows them to retake the interview, typically within 24 hours of the end of the original session.
You can't invite or schedule a Redo interview from your ATS. If your organization enable this feature, candidates automatically receive an email after their original Karat interview is complete offering them the opportunity to take advantage of the Redo interview. This email contains a link for the candidate to create and schedule their Redo Karat Assessment.
If a candidate doesn't request a Redo interview within 24 hours after their original interview, the email link they received is no longer valid. If you would still like the candidate to receive the Redo Opportunity outside of the 24-hour window, email support@karat.com and the Karat team will send out a Redo opportunity invite to the candidate so they can schedule their Redo interview.
Important: The Karat Platform prevents duplicate interview invites for the same candidate in the same role. This means, you can't schedule a candidate who state is "scheduling" or "scheduled". However, you can invite a candidate to their original Karat interview in another role or another job.
How do I disable the integration?
You can delete the key in Karat under Settings. This deletes Karat's copy of the key and this action can't be undone. If you want to re-enable the integration, you will need to generate a new API key and start over the process of setting up your integration according your ATS.
Can I change the API key permissions?
Some ATS integrations don't allow changing the API key permissions, however, you can create a new API key with the desired permissions and update it in Karat under Settings.
What is MATS for Lever?
MATS allows us to track candidates in your ATS when they are moved to new opportunities. It works by checking to see if changes recorded in your ATS pertain to a candidate who matches an active candidacy on the Karat Platform. If so, it updates the candidate's state on the Karat Platform to match the candidate's state in your ATS, and if not, it ignores it.
How can I modify a Karat role?
If you need to modify the role of the Karat assessment role, such as specify assessments, questions, and alignment bars, you have to use the Karat platform. After you apply changes to the role in Karat's platform, the role will be updated in your ATS. For more information, see How to: Update roles.
